Board of Director’s Meeting

Meeting opened – 7pm

Attendees: D. Skinker; D. Terry; M. Heffner; J. Patton

 

Approvals via email since last report

v      Minutes for meetings May 18 and April 20 were approved to post on website

 

Treasurer’s Report

v      Presented Financials for 8.5 months

v      Three lots sufficiently  late in payment of dues (Lots 2E, 9E, 20E)

v      Lot 2E – discussed scheduling a hearing to develop payment schedule and schedule to address outstanding covenant violations

v      Discussed movement of funds from operating account to T. Rowe Price at end of year if sufficient funds still exist in operating budget

v      New owners on LOT 28F

v      Wachovia is charged $2 per photocopies of checks, online access may be an option to avoid this charge

v      We are low on checks, so approval for Treasurer to order more checks

v      4th quarter invoices will be mailed Sept 30, need newsletter for mailing

Annual Meeting

v      Scheduled for November 16th

v      Need at least draft budget for Fiscal 2010  [Action item  - Terry]

v      Compile minutes for year, summarizes, and brief meeting [Action Item – Stehlin]

 

AERC Committee

v      Approvals awarded:

1.        Lot 11F – Shed approved

2.       Lot 40E – Shed approved

3.       Lot 15E – Rain Barrels and latticework under deck approved

4.       Lot 23F – Window and trim replacement approved

v      Creek erosion project completed under budget, County will be asked to review

v      Paving of townhouse parking on Swallow Court will be deferred to Spring 2011

v      Greenlink contract for next two years will be renewed at no increase in cost

v      Road maintenance issues should be referred to the County, PHONE??

v      Street light problems should also be referred to the County, PHONE??

 

 

Nominating Committee

v      Nominations for 3 board members and 1 AERC member are to be presented at next Board meeting October 12 [Action item  - Heffner]

 

 

Community News

v      LOT 40E will be placed on market for sale, Open House Sunday, Sept 19

 

Special Meeting Notes reviewed

v      Minutes were reviewed and will be placed on website after revisions completed

v      Consensus from the Special Meeting was that Covenants should not be changed at this time, however Friendly Notices can be reworded to improve communication and clarify the enforcement process to ensure homeowners rights are protected

 

Website

v      CCOC Rights and Responsibilities will be posted

v      MWHOA survey results for Special Meeting will be posted

Covenant Enforcement

v      Friendly Notice draft rewording reviewed, additional changes noted
